NXRION – Vendor Onboarding Policy Set
1. Vendor Onboarding Policy
1.1 Purpose
This policy outlines the standards, documentation requirements, and procedures for onboarding vendors on the NXRION marketplace platform.1.2 Scope
Applies to all vendors (individuals, proprietorships, partnerships, companies) seeking to sell products/services on NXRION.1.3 Eligibility Criteria
-Must be legally allowed to conduct business in India.
-Must comply with GST, local laws, and industry-specific regulations.
-Must accept NXRION’s Vendor Agreement and platform policies.
1.4 KYC & Verification Requirements
- PAN (Individual/Business)
- Aadhaar / Business Registration (Shop Act/MSME/Udyam)
- GSTIN (if applicable)
- Bank Account Proof
- Business Address Proof
- Product/Service Category Declaration
1.5 Approval Workflow
- Vendor submits documents
- NXRION verifies KYC & business type
- Cashfree validates bank + PAN
- Vendor Agreement signed
- Vendor activated for payment settlements
1.6 Prohibited Vendor Categories
- Illegal, high-risk financial products
- Adult, Weapons, Narcotics
- Gambling, cryptocurrency, regulated items without license
2. Refund & Cancellation Policy
2.1 Purpose
Defines roles and responsibilities for refunds, cancellations, disputes, and chargebacks.
2.2 Vendor Responsibilities
- Vendor must honor valid refund or cancellation requests from customers.
- Vendor must follow NXRION’s refund timelines.
- Vendor must accept charge backs caused due to service, product, or fulfilment issues.
2.3 Customer Responsibilities
- Provide valid reason for return/refund.
- Provide proof/evidence when required.
2.4 NXRION’s Role
- Acts as a facilitator between customer and Vendor.
- Refunds processed via Cashfree, deducted from Vendor settlement or future payouts.
2.5 Non-Refundable Situations
- Fraudulent claims
- Customer misuse
- Services already consumed
2.6 Chargeback Handling
- Vendor bears financial liability of chargebacks caused by their service/product.
3. Vendor KYC Checklist
3.1 Individual / Proprietorship
- PAN
- Aadhaar
- Shop Act / MSME / Udyam
- Bank Proof (Cancelled Cheque/Passbook)
3.2 Partnership Firm
- Partnership Deed
- Firm PAN
- Partner PAN & Aadhaar
- GSTIN (if applicable)
- Bank Proof
3.3 Private Limited / LLP
- Certificate of Incorporation
- Company PAN
- Director PAN + Aadhaar
- Board Resolution for Signing Authority
- GSTIN (if applicable)
- Bank Proof
3.4 Business Verification
- Business address proof
- Product list and category
- Photos of store (if physical outlet)
3.5 Mandatory Declarations
- Authenticity of documents
- Compliance with laws
4. Marketplace SOP (Standard Operating Procedure)
4.1 Purpose
Defines the standard workflow between NXRION, Vendor, and Cashfree for split payments.
4.2 Vendor Creation Flow
- Vendor submits KYC
- NXRION creates Vendor via Cashfree API
- Cashfree validates PAN & bank account
- Vendor status becomes ACTIVE
- Settlement schedule assigned
4.3 Order & Payment Flow
- Customer places order via NXRION
- Cashfree collects full payment
- NXRION commission auto-deducted
- Vendor share settled as per schedule
- Refund/chargeback adjustments applied
4.4 Vendor Settlement Rules
- Settlement only to verified Vendor bank accounts
- No third-party account allowed
- PAN-bank mismatch must be fixed
4.5 Fraud Prevention Rules
- Vendor cannot take direct/offline payments
- Vendor cannot manipulate pricing or invoices
- Suspicious activity → immediate suspension
4.6 Reporting & Compliance
- NXRION maintains vendor transaction logs
- Cashfree settlement reports reconciled daily
- Disputes resolved via Vendor support
